I write proposals for different programs and donors (like EU, World Bank). ChatGPT helps with brainstorming, organizing, and making parts of the proposal clearer or more concise, especially to fit word limits.
Usually, I gather the info, draft a proposal, and use ChatGPT to improve it if I’m not happy with it or want to speed up the process. The issue is that sometimes the output sounds too much like ‘GPT’—not my writing style.
I’ve tried creating a custom GPT by uploading examples of my writing, but it doesn’t seem to use those until I specifically tell it in the prompt. I also haven’t used the memory feature because I worry it might get confusing as my chats are all over the place.
I’m not tech-savvy and can’t set up APIs. Any suggestions on how to make this more efficient?
After uploading my writing samples, I asked GPT to describe my ‘voice.’ Turns out I had two distinct writing styles. Now I tell it to remember my style, and if it still sounds too ‘GPT,’ I ask it to rewrite it in my voice, reminding it of what my style is.
I suggest using Claude instead and creating a project. You can upload custom instructions and multiple files that any subsequent chat can access. Use the ‘add custom text’ option to describe the purpose of your chats, then add structure and examples as separate files. Here’s more info: Prompt engineering overview - Anthropic. A lot of these tips can work without the API.

You can do the same with GPT. It’s really about personal preference.

True. I just found Claude more consistent for projects like this. It’s also a bit better at sounding more natural and less repetitive.

I find Claude better overall for writing—it’s more creative and less robotic compared to ChatGPT.
Create a custom GPT. Take around 10 samples of your writing, feed them into GPT, and have it create a style guideline based on those examples. Once you have the finalized guidelines, add them to your custom GPT’s knowledge base, and instruct it to use them for future prompts. You can also adjust the guidelines over time to get closer to what you need.

Use as many examples as you can fit in the context window. I use a long prompt—over 20 pages—filled with examples, and it works well.

Create a custom GPT by clicking on ‘My GPTs’ under settings and then ‘Create a GPT.’ Under ‘Knowledge,’ upload your previously written work and add instructions for it to use the same style, voice, and tone.

Create a ‘style input’ by analyzing your writing. Save this as a text file, and use it as a reference whenever you need that specific style. You could also upload before and after versions of edited documents and ask GPT to compare and describe the changes.

The best you can do is ask GPT to keep ‘perplexity’ and ‘burstiness’ high and to try to match a certain style.

I have a 44-line prompt that took me two months to refine for the right style. It helps me stay consistent, and I also use it to check my scripts for correctness and style.

Give it a big sample of similar writing. If it sounds off, ask it to limit adjectives and write at a certain readability level.
